How to build a customised Request for Proposal (RFP)

To create your customised Request for Proposal select your requirements from the search options in the 'Plan an Event' panel then click 'Search'. You can then also select other items you are interested in the area from the 'Would You Also Like to See?' panel, then follow the stages below. Alternately choose your criteria then click on 'Submit RFP' button to request your Proposal without viewing the search results.

Choosing the perfect destination for a business event can be the hardest decision a meeting planner has to make. Trusted with the task of delivering on the brief, everyone’s first thought is to ask Google for help.  

While Google does know almost everything, it doesn’t have the local knowledge and expertise as that of a destination convention bureau. And, guess what? Their FREE services are here to help you find that perfect venue, experience or service.  

To get you started, here’s 5 questions you should ask every convention bureau to ensure your delegates are left wanting more after your next conference. 

1. What makes your destination stand out from the others? 

Many destinations offer aspects such as beautiful blue water, award winning wineries and a plethora of conference rooms, but it’s the hidden gems that really make a difference. A convention bureau can provide you with insight into what the locals like to do! Like, where the local hotspots are, what will create a lasting impression for the delegates or which experience can you include that will blow them away!

2. How will you assist me to plan my event? 

A convention bureau acts as a one stop shop, helping you plan your business event. Their advice is non-bias, so the recommendations provided to you are only those most suitable for your specific event requirements. From sourcing the perfect conference venue to off-site dinner options or even hosting you for a site visit in region, your local bureau expert might even be able to provide all your delegate welcome bags and lanyards!

Convention bureaux can host you on regional site visits, introducing you to the region’s industry experts and ensure your vision can become a reality.  

Did you know convention bureaux also hold regional familiarisations tours? So, even before you’re ready to book your conference you can experience firsthand what the region has to offer. Just let them know you’re interested in joining the next famil program so you don’t miss out.

4. How can I encourage delegates to get out of the board room and into the region?

We all want to stay longer when on holidays, right? Ensure your delegates don’t walk away with post conference blues by providing them with inspiration to stay a few extra nights. A convention bureau can help you inspire your delegates by:

- Negotiating pre/post conference accommodation rates with the host venue, so delegates will be enticed to stay a little longer; 

- Provide you with regional tourism maps and visitors guides, giving delegates a plethora of experiences to take advantage of after the conference;
